Subscription Details
The Basic Version
The current release of the software is called the "Basic" version. Future versions may include "Standard", "Professional" and "Enterprise".
The Basic version is designed to provide all the functionality of the Toolkit that would be needed in 95% of all use situations.

Subscription License Agreement
Each subscription grants one person ("Subscriber") the right to use one unshared set of login credentials for accessing and using the ActionMap Toolkit SaaS application, Basic level subscription, one active browser session at a time, according to the ActionMap Terms of Service and Privacy Policy plus the conditions described on the subscription application form. The Subscriber is the primary user of the email address that serves as the applications login ID.
System Requirements
The application uses the Chrome browser on desktops and laptops running Windows 7+ or MacOS. Please note that the current version of the application will not run on mobile devices.
Key Notes on Email Address and Alphabets
Your email address
The email address you submit will become your login id.
▪ Currently for each email address only one subscription to the Basic version is allowed.
▪ You can use the same email address for upgrades (for example in upgrading from a complimentary subscription).
▪ However, if you use the same email address for a second subscription of the same type that second subscription will be automatically returned (no change will occur to the first subscription).
Limitations on changing your email address
Please note: in the current version of the software we cannot change the email address associated with your subscription. Also, that email address is our sole point of contact with you, so you need to maintain access to that email address in order to receive notices from us about the software. Limitations on languages and alphabets
In the current system subscriptions are currently accepted using only Latin (Western) alphabet characters. If non-Latin characters are used on the subscription application the subscription will be flagged and cancelled when we receive it. Also, the primary data capture fields in the application are currently limited to Latin alphabet characters. We apologize for any inconvenience this may create. We plan to accommodate more universal character sets and languages in the future.
E-Meeting Services - Provided by the Subscriber
The current "Basic" version of the application is designed to be shared in an e-meeting just as you would share an office automation document. Please note that the current release of the application does not include voice conferencing, screen sharing or chat. For conducting online meetings those need to be provided separately by the subscriber.
Data Storage Limits of the Basic version
The Basic version has three limitations on data storage:
▪ 500 Sessions
▪ ActionMap Toolkit Sessions are similar to e-meeting sessions; they are temporary. While people keep the work products from the sessions, they generally don't keep the sessions.
▪ As you approach this limit, you will be asked to delete older, completed sessions to stay under the limit
▪ 600 Map and Plan Areas
▪ Map and Plan Areas are the collections of Maps, Evaluations and Plans that you create in the Toolkit.
▪ You can create, export and re-import and unlimited number of Map and Plan Areas.
▪ The data storage limit refers to the number of Map and Plan Areas you can have online at any time.
▪ As you approach this limit you will be asked to remove online Map and Plan Areas to stay under the limit.
▪ 700 Maps
▪ Map are process maps that you create inside Map and Plan Areas.
▪ Maps are exported and re-imported with Map and Plan Areas.
▪ The data storage limit refers to the number of Maps inside Map and Plan Areas you can have online at any time.
▪ As you approach this limit you will be asked to remove online Map and Plan Areas to stay under the limit.
Data Security, Privacy and Compliance
We take these topics seriously. In addition to our policies, procedures, technical measures, and service relationships, we expect to partner with our subscribers in achieving successful outcomes in these areas.
To that end, we require and recommend the following:
By our Terms of Service and Privacy Policy:
- Do not share your login and password, and keep them confidential and secure.
- Do not add personal and/or sensitive information about other people or organizations to the ActionMap Toolkit application.
At the same time, ActionMap is intended to be used to prompt for and capture important details about individual and organizational activities. Some of these details are bound to be somewhat subjective, personal, and confidential.
With regard to such information, if you are concerned, please note:
- Most of the information that you will capture in the application will be "not sensitive" and known by multiple people. The Toolkit is simply capturing and organizing that information to make it more useful.
- ActionMap is designed to export information to PowerPoint and Excel for distribution and sharing, so please consider the security of those distributions.
- You could use the ActionMap manual method in other tools, like PowerPoint and Excel, and you would still need to consider the sensitivity of the information being captured.
- You could use completely different tools and capture the same information and you would still need to be careful about what you record and how it is distributed.
Consider then these options:
- If the information you are adding contains only a few pieces of information that you consider to be sensitive, that information can be captured using code words and phrases. This approach can be extended to session and work product titles, and client staff and organization names.
- Application work products can be downloaded as encrypted datasets, deleted online, and then re-imported for later use if needed (see this link.) That removes the information from your account, and it is shortly purged from the entire system.
- For highly sensitive topics, use the application to learn the method, and then perform the steps of the method offline using office automation tools (see this link on that).
