Subscription Details

The Standard Version 

The current release of the ActionMap Toolkit is the Standard version. It includes all core functionality needed to support a very broad range of use cases.

Future versions may include additional editions—such as Basic, Professional, and Enterprise—offering different feature sets and capacity levels to serve specific user needs and organizational contexts.

Subscription License Agreement

Each subscription grants one person ("Subscriber") the right to use one unshared set of login credentials for accessing and using the ActionMap Toolkit SaaS application, Standard level subscription, one active browser session at a time, according to the ActionMap Terms of Service and Privacy Policy plus the conditions described on the subscription application form. The Subscriber is the primary user of the email address that serves as the applications login ID.

System Requirements

The application uses the Chrome browser on desktops and laptops running Windows 7+ or MacOS.  Please note that the current version of the application will not run on mobile devices.

Key Notes on Email Address and Alphabets

Your email address

The email address you submit will become your login id. 
▪  Currently for each email address only one subscription to the Standard version is allowed. 
▪  You can use the same email address for upgrades (for example in upgrading from a complimentary subscription).
▪  However, if you use the same email address for a second subscription of the same type that second subscription will be automatically returned (no change will occur to the first subscription). 

Limitations on changing your email address

Please note: in the current version of the software we cannot change the email address associated with your subscription. Also, that email address is our sole point of contact with you, so you need to maintain access to that email address in order to receive notices from us about the software. If you have concerns about this please review the description of this in our Privacy Policy. 

Limitations on languages and alphabets

In the current system subscriptions are currently accepted using only Latin (Western) alphabet characters. If non-Latin characters are used on the subscription application the subscription will be flagged and cancelled when we receive it.  Also, the primary data capture fields in the application are currently limited to Latin alphabet characters.  We apologize for any inconvenience this may create. We plan to accommodate more universal character sets and languages in the future.
 

E-Meeting Services - Provided by the Subscriber

The current "Standard" version of the application is designed to be shared in an e-meeting just as you would share an office automation document.   Please note that the current release of the application does not include voice conferencing, screen sharing or chat.  For conducting online meetings those need to be provided separately by the subscriber.

Data Storage Limits of the Standard version

The Standard version of ActionMap is designed to support substantial use by individual professionals, coaches, and consultants. Most users will never come close to reaching its built-in capacity.

You can create a large number of:

• Sessions (used for facilitating collaborative mapping)

• Map and Plan Areas (collections of Maps, Evaluations, and Plans)

• Maps (the core visual diagrams of your workflows and jobs)

If you ever approach your account’s working capacity, the system will notify you with easy options to archive, export, or manage your content—nothing will be deleted automatically, and you’ll remain in full control of your data.

You can also export your Map and Plan Areas for safe storage and re-import them later, ensuring long-term flexibility and continuity.

In short: there's plenty of room to work. If you’re ever close to capacity, we’ll guide you through simple steps to manage it—no surprises, no disruptions.

Data Security, Privacy and Compliance

We take data security, privacy, and compliance seriously. Alongside our policies, procedures, and technical safeguards, we aim to partner with subscribers to ensure responsible and effective use of the application.

To that end, we require and recommend the following:

By our Terms of Service and Privacy Policy:

• Do not share your login and password, and keep them confidential and secure.
  
  
• Do not add personal and/or sensitive information about other people or organizations to the ActionMap Toolkit application.

At the same time, ActionMap is designed to help you capture meaningful details about individual and organizational activities. Some of this information may naturally be subjective, personal, or confidential.

With regard to such information, if you are concerned, please note:

• Most of the information that you will capture in the application will be "not sensitive" and known by multiple people.  The Toolkit simply captures and organizes that information to make it more useful. 
  

• ActionMap supports exporting to PowerPoint and Excel. Please consider the security of these files when sharing them.

• If you were using manual methods (e.g., in PowerPoint or Excel), you’d still need to be thoughtful about information sensitivity and distribution—this responsibility is consistent across tools.

If you are working with sensitive material, consider the following options:

• Use code words or generalized phrases for sensitive entries. This can apply to session names, work product titles, roles, or organization names.

• You can export Map and Plan Areas as encrypted datasets, delete them from your account, and re-import them later if needed. Once deleted, the data is shortly purged from our systems. [link]

• For highly sensitive topics, consider using ActionMap to learn the method and then apply it offline with other tools such as PowerPoint or Excel.
