Work Products in Sessions: Create, Select and Change

Work Products in Session:  Create, Select, Copy, Delete 

This page covers the items from the "Select Work Product Action" sub-panel, shown below. 

Main Page Header Menu This is how to get to the Work Products The Main Page Header Menu is accessed via this control:   The Header Menu then appears:
Work Products Sub-Menu Hovering over Works Products  opens the sub-menu  or  Click on Work Products and open the "Select Work Product Action" panel (see next frame)
Select Work Product Action  see "Select Work Product Action" The "Select Work Product Action" panel is provided in addition to the sub-menu because it provides help links to the Work Product management items. Click on Create a New Map

Create New Map in Current Map and Plan Area 

This provides a way to create a Map under the current Map and Plan Area, and opening that Map for view. Clicking on this item brings up the following confirmation message.
Confirming the Selection       ▪  creates a new Map for the current Session       ▪  activates that Map       ▪  sets the Session Activity to "Capture/Edit Map Central Process Name", as shown here

Select Existing Map from Current Map and Plan Area

This provides a way to move between different Maps that are part of the current Map and Plan Area. Clicking on this item brings up the following sub-panel.
Confirming the Selection:   ▪   creates a new Map and Plan Area for the current Session,       ▪   activates that Map and Plan Area, and       ▪   sets the Session Activity to "Capture/Edit Map and Plan Area Name", as shown here.		▪   Note:  The Updating the  "Area Name" List row will update the "Title" field that appears in the "Map and Plan Area Description Edit" panel, and vice versa.

Attach and Detach Map and Plan Areas from Current Session
This provides a way to add a Map and Plan Area from one Session to another Session, and for removing Map and Plan Areas from Sessions.
Please note that this does not delete the Map and Plan Areas.

Detach Map and Plan Areas from Current Session

Attach Map and Plan Areas from Current Session

Background: Subscribers can have many Sessions and many Map and Plan Areas.  Only one Session can be Open at a time. Map and Plan Areas are only created in Sessions. When a Map and Plan Area is created in a Session, it is automatically "attached to the Session".

Scenario 1:

• User creates a Map and Plan Area in the Session.
• User finishes the Session, closes Session and deletes the Session.
• The following week the user wants to use the Map and Plan Area again.
• User creates a new Session, joins it, opens the "Attach and Detach" menu option, locates the Map and Plan Area in the lower List, and attaches it to the Session.
• User then sees it in the upper List and selects it to be the active Map and Plan Area in the Session.

Scenario 2:

• User has an extended Session in which the user creates several Map and Plan Areas.
• User closes the Session and comes back to it the next day.
• User decides that they no longer want to work on one of the Map and Plan Areas.
• User opens the "Attach and Detach" menu option, selects the Map and Plan Area from the upper List, and detaches it from the Session

Notes:
▪  Detaching a Map and Plan Area from a Session does not delete the Map and Plan Area, it only removes it from the Session.  It can be re-added to any Session at any time (until you delete it, using the Work Product Management panel (link here).

▪  The lower List in the "Attach and Detach" panel only shows Map and Plan Areas that are not archived.
▪  If the Map and Plan Area is archived, you can do the following:
    ▪   Go to the Work Product Management Page (link here)
    ▪   Toggle the "Show/Hide Archived" button to show archived items.
    ▪   Search for and locate the archived Map and Plan Area that you want.
    ▪   Change its status to "Active" using the row context menu.
    ▪   Return to the Session Main Page, close and re-open the "Attach and Detach"                          sub-panel, locate the Map and Plan Area, and attach it to the Session.

▪  The same approach must be used for Importing Map and Plan areas.
   ▪   If you import a Map and Plan Area, you must close and re-open the "Attach and Detach" panel before that newly imported Map and Plan Area will be visible in that panel. 
    ▪   Again, please note that you must close and re-open the "Attach and Detach" sub-panel for it to "see" the reactivated or imported Map and Plan Area. 

Copy Map to the Current Map and Plan Area

This provides a way to copy an existing Map from one Map and Plan Area to another.

Please note that this function copies Maps INTO the currently selected Map and Plan Area, and FROM Map and Plan Areas that are attached to the current Session.
This includes copying a Map from the current Map and Plan Area to the current Map and Plan Area.

 To Set Up a Map Copy

     ▪   First make sure the "From" Map and Plan Area is attached to the current Session. (Sometimes this means first importing the Map and Plan Area from your local system, and then attaching it to the current Session.)
    ▪   Clicking on the "Copy Map" item brings up the panel shown below, which goes through several steps, shown below.
    ▪   First select the "From" Map and Plan Area:

 

Select an Existing Map

Then select an existing Map that is within the "From" Map and Plan Area:

Select What You Want to Copy

Then select the elements that you want to copy.  This step allows you to includes or leave out different rows from the different phases of the Main Process.  For example:
      ▪   Just copy the Map and then modify the copy.
      ▪   Just copy the Map and capture Evaluations from a different group of participants.
      ▪   Copy the Map and Evaluations and add to the Evaluations.
      ▪   Copy the Map and Evaluations and capture a different set of Priorities.
      ▪   Copy the Map, Evaluations and Priorities and capture different Plan items.

Proceed with Copy 

When you are done with the above selections, click on the "Proceed with Copy" button.
A confirmation request will appear as shown below.

 Delete a Map from the Current Map and Plan Area

This provides a way to remove Maps from the currently active Map and Plan Area.
For example:
      ▪   To remove a Map that is not needed
      ▪   To create a Map and Plan Area that has some Maps removed.

 

  

Edit the Current Map and Plan Area Description

This provides a way to change the description of the Map and Plan Area as it appears in the list on the "Map and Plan Areas (Work Products)" page.
Clicking on this menu item brings up the following sub-panel, which is self-explanatory.
Note:  The Updating the "Title" field will update the "Area Name" row in the Main Page List, and vice versa. 

Export Map and Plan Area to PowerPoint and Excel

This provides a way to export the current Map and Plan area to PowerPoint and Excel (.pptx / .xlsx)
Clicking on this menu item brings up the following sub-panel, which is self-explanatory.

 

NOTE:   If you want to see Map Part Evaluation is the "Proposed Changes Export", you need to include make sure they are selected in the "Capture Priority Cutoff for Map Evaluations" Activity.

Export Map and Plan Area to Encrypted Data Set

This provides a way to export the current Map and Plan Area as an encrypted data set that can be re-imported on the "Map and Plan Areas (Work Products)" page.
Clicking on this item bring up the following sub-panel, which is self-explanatory.

 

Soon to be released feature (with workaround)

Copy Map and Plan Area

The current release of the software does not have a "Copy Map and Plan Area" function, which would provide a way to copy an entire Map and Plan Area with all Maps and associated parts.
This can be accomplished now with the following steps:
      ▪  Export the Map and Plan Area as an encrypted data set (link)     
      ▪  Re-import the same Map and Plan Area with a different version name
