Create a Sharing Group, consisting of group members and Map and Plan Areas that they can have shared access to.
These next steps show logging out as one user and logging back in as another user, in this training scenario.
To Access a Work Product (Map and Plan Area) that has been shared with you
Log in under your user id
Create a new session or open an existing session.
(Your session will be different from the sessions that other users have to access the work product. Sessions originate the work product however do not completely control them.)
When the Main Page appears in the session you have opened, navigate as shown here:
On the following screen you can search for and select the Work Product that you would like to access.
After you have attached and selected the shared Map and Plan Area, it appears on the Main Page. At that point you have completed control over the Map and Plan Area (so be careful with it!)
It may be good practice to download the shared Map and Plan Area before working on it. (Look for "Export Map and Plan Area as Encrypted Dataset" on this page).
Key Notes
Conflict Prevention - only one user at a time can access shared Map and Plan Areas
If one user has a shared Map and Plan Area attached to an active session, then other users who share that Map and Plan Area cannot open it in their sessions.
It is not necessary to detach the Map and Plan Area from a session to make it available for other users. You just need to make sure the session that it is attached to is not active. The sessions the Map and Plan Area can even appear as "Open" in the Sessions Admin list. The sessions just need to be "ended" either through the Main Menu on the Main Page, or by timing out (two hours of inactivity).
Communicating about who is actively using a shared Map and Plan Area, and requests to other users to end sessions so that shared Map and Plan Areas can be accesses, need to take place outside the application.
Issue: Cannot locate Map and Plan area shared with you
IWhen you create a new session, the system automatically creates a new Map and Plan area with the Area Name "Temp". If you attach a shared Map and Plan Area to that session, and later do not see it, go into the Main Menu > Work Products > Select an Existing Map and Plan Area, and look for the Map and Plan Area on that list. You can select it from that list, and it will appear on the Main Page.
